FirstLine Schools: Talent and HR Coordinator Creating and inspiring great open admissions public schools in New Orleans

About FirstLine Schools

In 1998, FirstLine Schools started the first charter school in New Orleans. FirstLine now operates four K-8th grade schools and a high school. Our mission is to create and inspire great open admissions public schools in New Orleans. We do this by:

Position Summary:

The HR/Talent Coordinator leads and supports the development of a more robust, responsive and systematized HR department at FirstLine Schools and helps provide the best service to our organization.

Key Responsibilities:

Exiting Employees and Employee Onboarding Support

  • Exits employees out of FirstLine systems and files paperwork appropriately

  • Supports Human Resources Generalist with onboarding with data input during peak season

Maintaining Personnel Files and Records

  • Prepares employee file for archiving using appropriate filing methodology

  • Conducts consistent file and other audits

  • Completes employment verification requests as received

  • Alphabetize file folders for personnel and benefits and ensure they are categorized by current and former employees and then by school

  • Format file folders using file format methodology as outlined in the file checklist

  • Create a benefits folder for each employee

  • Re-format all files that are not in proper file folders

  • Place all background checks into employee file folders; active and terms

  • Audit and alphabetize all I-9 s in the binders

  • Conduct file audits and post missing documents (forms) to file audit tracker

  • Scan and digitize records upon request

Certification

  • Supports Human Resources Generalist with certification verification

Recruitment and Selection

  • Posts and manages job requisitions in the applicant tracking system and online job portals

  • Manages candidate flow and communication via taleo and recruitment tracker based on feedback from Recruitment Manager ensuring candidate statuses are updated in all systems

  • Communicates the status of candidates that are interviewing with school leaders via the Weekly Candidates in Play Email

  • Conducts reference checks

  • Attends recruitment events with other members of the Talent team

Other duties as assigned

Education & Experience:

  • Bachelor s degree

  • Commitment to FirstLine Schools mission and vision

  • Initiative and drive for continuous improvement

  • Excellent communication and interpersonal skills

  • Proficient with information technology (Gmail and Google Docs and Apps, Microsoft Office Suite, very skilled with Excel)

  • Excellent organizational, prioritization, time and project management abilities.

  • Ability to represent the organization to a variety of audiences

  • Ability to maintain confidentiality of any and all information encountered

  • Ability to create a trusting, positive and supportive work environment

  • Extremely high level of attention to detail and accuracy

Physical Requirements:

  • While performing the duties of this job, the employee may be required to sit, walk, stand, talk, and hear.

  • Light lifting of equipment may be required (up to 20 lbs.)

Tasks

  • Process, verify, and maintain personnel related documentation, including staffing, recruitment, training, grievances, performance evaluations, classifications, and employee leaves of absence.
  • Record data for each employee, including such information as addresses, weekly earnings, absences, amount of sales or production, supervisory reports on performance, and dates of and reasons for terminations.
  • Explain company personnel policies, benefits, and procedures to employees or job applicants.
  • Provide assistance in administering employee benefit programs and worker's compensation plans.
  • Answer questions regarding examinations, eligibility, salaries, benefits, and other pertinent information.
  • Prepare and set up for new employee orientations.
  • Gather personnel records from other departments or employees.
  • Examine employee files to answer inquiries and provide information for personnel actions.
  • Search employee files to obtain information for authorized persons and organizations, such as credit bureaus and finance companies.
  • Compile and prepare reports and documents pertaining to personnel activities.
  • Interview job applicants to obtain and verify information used to screen and evaluate them.
  • Process and review employment applications to evaluate qualifications or eligibility of applicants.
  • Inform job applicants of their acceptance or rejection of employment.
  • Select applicants meeting specified job requirements and refer them to hiring personnel.
  • Arrange for advertising or posting of job vacancies and notify eligible workers of position availability.
  • Request information from law enforcement officials, previous employers, and other references to determine applicants' employment acceptability.
  • Administer and score applicant and employee aptitude, personality, and interest assessment instruments.
  • Prepare badges, passes, and identification cards, and perform other security-related duties.
  • Arrange for in-house and external training activities.

  • Personnel and Human Resources - Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
