Job Description

PRINCIPAL RESPONSIBILITIES Manage events start to finish that can range from small meetings, retreats to major conferences of 1,000+ Collaborate with ACAPT leadership and external partners to coordinate and deliver on event needs and expectations Coordinate event planning, design and production while managing all project delivery elements within time limits Ensure compliance with insurance, legal, health and safety obligations Proactively handle any arising issues and troubleshoot any emerging problems Conduct market research, gather information and negotiate contracts Propose ideas to improve provided services and event quality Provide feedback and periodic reports to stakeholders Handle all communications with site staff leading up to, during, and after events TARGETED AREAS OF ACTIVITY Event Venues Develop RFP for future venues and secure feedback Work with volunteers and staff to identify best location, negotiate, and secure contract Coordinate all meeting arrangements that include scheduling, a/v, catering, supplies, and other logistics Assuring conference staff are meeting contractual obligations and expectations Event Management Software Manage conference management software and related mobile apps Enter data to include speaker details, session and other meeting logistics Format data into electronic program posted on event website(s) and/or mobile apps Work with product vendor to assure expectations are met Assess product performance Vendor, Speaker and Attendee Management Coordinate with various vendors to provide services at meetings, including vendors who set up audiovisual equipment, decorators, and other event professionals Negotiate fair prices for rentals, labor, and other services Develop the exhibitor/sponsor prospectus and using it to secure their commitments Assure exhibitor/sponsor benefits and deliverables are provided as expected Correspond with speakers to include invitation to present, call for abstracts, confirmation of attendance, contractual requirements, procurement of information for CEU applications, and preparation of any materials or equipment needed for their presentations Assist attendees with access to the event online, via mobile apps, and onsite Volunteer Relations Coordinate meetings of event committee(s), develop agenda, take minutes, follow-up on agreed plans Identify opportunities for volunteer support at events and outline instructions for their successful participation Conduct pre- and post-event evaluations and report on outcomes Identify opportunities for improvement, expansion Marketing Coordinate with marketing staff to promote and publicize each event Continuing Education Units Gather information required for CE applications Submit applications and follow-up with providers to assure approvals are secured Provide certificates to attendees where applicable Timeline Establish standardized event procedures and timelines that empower volunteers & other staff for proper execution Keep all stakeholders on track Financial Build and adhere to an event budget to avoid project overruns Issue invoices and collect payments in a timely manner, and create comprehensive financial reports Assess return-on-investment and report on recommendations PandoLogic.Category: Hospitality & Tourism, Keywords: Event Planner
