Avenica is currently recruiting for an Entry Level Administrative Assistant. The ideal candidate for this position is a college graduate that is highly motivated and interested in gaining experience in business, human resources, and client relations. Great opportunities for professional development and career growth. No experience required.This role requires a high-level of interpersonal, organizational, and administrative skill and the ability to be successful and organized in dynamic, fast-paced environment.

Responsibilities of the Entry Level Administrative Assistant:

?Manage and coordinate complex and often shifting calendars of Account Managers

?Maintain and/or create electronic and/or paper filing systems to keep readily accessible and organized

?Prepare meeting materials; agendas, printed materials, etc.

?Support Account Managers and Associate Account Managers with Various projects.

?Anticipate administrative needs and act proactively to provide top-notch support

?Act as an Executive Assistant working alongside office manager performing clerical duties

?Other work/duties such as data entry

Requirements of the Entry Level Administrative Assistant:

?Strong professional communication skills, written and verbal

?Excellent attention to detail. Strong writing, editing and proofreading skills and demonstrated ability to deliver high-quality support

?Experience working effectively and professionally with people at all levels of the organization

?Strong and collaborative team player

?Demonstrated ability to maintain strict confidentiality

?Ability to handle multiple tasks and meet deadlines, while maintaining focus in an environment with conflicting demands and priorities

?Strong problem-identifying and -solving skills

?Openness to feedback, self-awareness, and ability to adapt to change effectively and professionally

TASKS

  • Manage and maintain executives' schedules.
  • Make travel arrangements for executives.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
