Downtown Los Angeles based Consulting Firm is looking for an Administrative Assistant to support the President of the firm.  This is a fun and dynamic role with excellent benfits and perks!


•             Screen telephone calls and greet visitors

•             Coordination of travel schedules and arrangements

•             Transcribe phone messages

•             Manage heavy calendars, including logistics for internal and external meeting(s)

•             Provide all relevant administrative functions including drafting documentation, spreadsheets, expense reports, etc.

•             Maintain a well-organized corporate filing system and database

•             Organize and manage catering services for small events within the company

•             Assist/maintain office and kitchen supplies, fax machine, printers and copiers

•             Schedule conference room bookings

•             Serve as back up to Administrative team, including lunch breaks and vacation


•             Excellent communication, inter-personal and organizational skills, with the ability to multi-task and remain calm in a fast-paced demanding environment.

•             Have an upbeat and professional demeanor.

•             Must be results oriented, have the demonstrated ability to effectively prioritize workflow, be organized, extremely detail oriented and able to prioritized tasks.

•             Ability to perform duties with deliberate speed and accuracy without immediate and constant direction or supervision.

•             Exercise good judgment, show initiative and be proactive.  

•             A minimum of 3 years’ experience as a high-level Assistant and experience supporting multiple managers.

•             Possess a high standard of ethics and handle sensitive information with tact and confidentiality.

•             Advanced computer skills i.e. Word, Excel, PowerPoint, MS Outlook and internet research skills

  • Manage and maintain executives' schedules.
  • Make travel arrangements for executives.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.

  • ClericalKnowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Economics and AccountingKnowledge of economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data.
  • Sales and MarketingKnowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics, product demonstration, sales techniques, and sales control systems.
