* Greeting guests to the office

* Answering the main phone line and routing calls to the appropriate employee

* Organization and tidying of the office

* Indexing of client/project documents and boxes

* Filing documents

* Receipt and distribution of mail

* Maintaining office machines (Keurig, Nespresso, etc.)

* Submitting maintenance requests (light replacements, carpet cleaning, etc.)

* Scheduling courier services

* Setting-up desks for new hires / cleaning out desks for departures;

* Ordering team lunches and dinners (when working late on client engagements, primarily)

* Scheduling conference rooms, preparing rooms for meetings

* Assisting with employee goodwill events/initiatives

* Managing inventory of and ordering office and break room supplies

* Maintain library, including in/out tracking of

* Assist in creating and updating new hire packets

* Assist with EA overflow tasks (expense reports, time entry, director requests)

* Printing and compiling hard copy documents.

  • Manage and maintain executives' schedules.
  • Make travel arrangements for executives.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.

  • ClericalKnowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Customer and Personal ServiceKnowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Computers and ElectronicsKnowledge of circuit boards, processors, chips, electronic equipment, and computer hardware and software, including applications and programming.
