Administrative Assistant – Part Time (20 hours/week) Provide administrative support to the President with direction from the Director of Client Services. Essential Duties and Responsibilities: Manage calendar to organize and schedule meetings and appointments Manage travel arrangements Assist with preparations of corporate events Greet clients and visitors Contact management Document management (scanning, filing, distribution) Reconcile credit card statements Maintain inventory of company’s promotional items Assist in managing company’s sponsorship commitments Assist in the preparation of regularly scheduled reports All other reasonable tasks as assigned by management Job Skills Required: Excellent verbal and written communication skills Highly customer service oriented Ability to prioritize and re-prioritize with change Strong organizational and planning skills Ability to multi-task and organize workflow to manage daily responsibilities Ability to learn functions of multiple software Excellent teamwork and interpersonal skills required Ability to maintain sensitive information confidentially Establish and maintain effective and positive working relationships with all those encountered in the course of work Ability to demonstrate initiative and to work with minimum supervision

TASKS

  • Manage and maintain executives' schedules.
  • Make travel arrangements for executives.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
