The American Association of State Highway and Transportation Officials (AASHTO), a national transportation association, seeks a motivated, independent administrative professional with solid web and database skills to assist multiple program managers in our Engineering department with tasks including: updating web site content, updating membership databases, tracking invoices and expenses, conducting and troubleshooting webinars, drafting and disseminating surveys, and coordinating meeting schedules.�This is a full-time position located in our Washington, DC office. ����������������������������������������A minimum of two years� experience in an administrative role and�Associate�s degree is required. Strong organizational skills and attention to detail are a must, as are effective and professional communication skills through e-mail and on the phone. Experience using WordPress, SharePoint, Microsoft Office Suite, and other web and computer-based applications strongly desired. �Specific duties include the following: ���������Updating and maintaining membership database listings for committees and technical service programs within the Engineering Team, including collecting and compiling data from the member departments, responding to membership database query requests, and providing customized reports���������Updating web sites for committees and technical service programs in WordPress and SharePoint formats, e.g., updating content, posting presentations from conferences, posting webinar links, etc.���������Creating and managing e-mail groups���������Updating spreadsheets for annual budgeting purposes���������Balloting documents through the committee structure���������Assisting with meeting logistics, e.g., preparing draft agendas, coordinating/confirming invited speakers, coordinating invitational travel, tracking costs, and reviewing reimbursement requests���������Scheduling conference calls, meetings, webinars, etc.���������Coordinating webinars, including scheduling, tracking, running, and troubleshooting���������Drafting and disseminating electronic surveys and creating reports based on the results���������Reviewing incoming invoices and travel reimbursements���������Tracking incoming and outgoing invoices, following up to ensure payment has been made or received, ensuring allocation to the correct program, answering external questions ���������Tracking financial contributions to technical service programs���������Drafting PowerPoint presentations�Please send cover letter and resume by Wednesday, July 10 to firstname.lastname@example.org.
