The position directly supports theRegional Administrator and reports to the Deputy RegionalAdministrator. The incumbent plans and executes internal andexternal programs and serves as the working-level liaison betweenthe staff specialists, the lines of business, and Headquartersoffices.
Oversees a variety of administrative support programs such asrecords management, property inventory, and annual data calls.Responsible for managing various programs as assigned, and assistswith regional programs and other special events including, but notlimited to, Hotline Operations, International Notifications, NASAOmeetings, all-hands meetings, etc.
Provides administrative support and/or oversight for timekeeping,correspondence, directives and records management, training, FOIAresponses, and policies and procedures, as needed.
Handles special assignments of a confidential nature discretely,ensuring information and actions are accurate, timely, applicable,maintained on a need-to-know basis, and securely stored.
Routes inquiries, Congressional correspondence, HQ requests andother correspondence to appropriate office(s) and composes or trackstimeliness of responses.
Serves as the RAs Purchase Credit Cardholder and performs allassociated activities for purchase and validation.
Plans, coordinates, and schedules RA/DRA meeting schedulesincluding participants from multiple internal and external groups.Collects and organizes documentation for all meetings. Providesadministrative support on workgroups and participate on specialprograms as identified by the RA/DRA.
Manages Regional Administrators visitors, ensuring visits are wellcoordinated, materials are available, and appropriate staff membersare available for support. Ensures detailed itineraries are completeand briefing materials are ready. Works with Senior Advisor tocoordinate tracking of follow-up actions.
Represents management in conjunction with supervisors for thepurpose of obtaining resources, and securing needed information ordecisions on major work problems and issues that arise. Articulatesand communicates assignments from management to staff. Monitors andreports on the status and progress of work, to ensure organizationaldeadlines and agency standards have been met.
In collaboration with Staffing Specialist provides support tomanagers with the performance management and compensation program,tools and systems. Tracks incoming and out-going employee movementfor performance close out and initiation of performance plans.
Works in a team environment to ensure all front office activitiesare completed. Provides backup for other administrative positions asnecessary and ensures continuous support coverage for the RegionalAdministrator.
Assists to support and maintain the ARA quality management systemthrough continuous improvement.
Occasional travel - The job may require travel from time- to-time,but not on a regular basis. The travel may be for training or otherwork-related duties.
