  • Manage clerical, administrative, personal and business details, including calls, meetings, travel and entertainment
  • Manage a complex, ever-changing calendar and task list effectively to maximize time in accordance with department priorities
  • Coordinate, plan for, and ensure all materials and other preparations are complete to ensure successful calls, meetings, and trips, including:
  • Manage schedules for on- and off-site meetings
  • Prepare and develop PowerPoint presentations, Word documents, Excel spreadsheets and dashboards as directed
  • Arrange meeting preparation and participation: prepare agenda in advance and arrange meeting facilities; act as recording secretary (prepare action minutes if applicable); provide back-up data prior to meetings/calls
  • Process replies from dictation and notes provided by Office of the CEO, or on own initiative
  • Manage travel arrangements; prepare itinerary and trip file; coordinate materials and supplies; coordinate hotels, meetings and meals; complete expense reports
  • Qualifications

  • Bachelors degree required
  • 5-8 years of related administrative experience supporting a senior executive; experience within financial services firm, investment bank, private equity firm, or hedge fund preferred
  • Superior computer skills, including but not limited to Microsoft Office, Outlook, Word, Excel, Power Point and Visio
  • Ability to demonstrate discretion in handling confidential data and dealing with high-level executives
  • Experience with coordinating travel and meeting arrangements
  • Experience managing calendars in different time zones
  • Proactive and forward-thinking to keep President of GI organized
  • Collaborative and energized by the open exchange of ideas

    • Manage and maintain executives' schedules.
    • Make travel arrangements for executives.
    • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
    • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.

    • Administration and ManagementKnowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
    • ClericalKnowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
    • Economics and AccountingKnowledge of economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data.
    • Sales and MarketingKnowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics, product demonstration, sales techniques, and sales control systems.
