Overview:

Our Dallas office is seeking an Executive Assistant/Group Coordinator to join our in-house consulting team.

Responsibilities:
  • Providing administrative support to executive-level staff for confidential and time sensitive material
  • Scheduling and organizing activities such as meetings, travel and conferences for senior staff
  • Maintaining a general schedule of activities for the members of the consulting group which numbers 20+
  • Periodically assisting in report production and presentation preparation utilizing desktop publishing programs and PowerPoint, respectively
  • Supporting marketing and business development by tracking leads, assisting in preparation of proposals, topical research and scheduling of activities
  • Helping to maintain database of reference information utilized by the consulting group
Qualifications:
  • High School Diploma
  • Typically, 5+ years of related experience
  • Previous experience as a receptionist and of general administration in a fast-paced corporate office setting would be a plus
  • Demonstrates professionalism by consistently maintaining positive and collaborate attitude with all staff, visitor and clients
  • Good verbal and written communication and client relations skills
  • Organized and detail-oriented with the ability to prioritize tasks to meet multiple deadlines and respond to changes at short notice. Note however, that there can be some flexibility in hours and work venue.
  • Punctual, consistent, reliable and patient
  • Intermediate knowledge and experience with Microsoft Office Suite including Word, Excel, and PowerPoint
  • Experience using Adobe software including InDesign and Illustrator to create and edit graphic materials and presentations would be an advantage, but can be taught
  • Experience in Architecture & Design, Real Estate Development or Hospitality industries a plus, but not necessary

TASKS

  • Manage and maintain executives' schedules.
  • Make travel arrangements for executives.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.

  • ClericalKnowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Customer and Personal ServiceKnowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Computers and ElectronicsKnowledge of circuit boards, processors, chips, electronic equipment, and computer hardware and software, including applications and programming.
