Join our entrepreneurial team of professionals as we continue our pursuit of excellence at our newest hotel development, the JW Marriott in Downtown Nashville. The impressive JW Marriott Nashville will rise on the highest elevation points of the city and be one of the tallest buildings in Nashville. With 533 guestrooms and 50,000 sq. ft. of meeting space this newest addition to Music City's skyline will enhance and elevate Nashville's appeal to business and leisure travelers alike. Scheduled to open in 2018, the hotel will also feature Bourbon Steak House by Michael Mina, a Lobby Cafa, 3-Meal Restaurant and a luxury spa.

JW Marriott is part of Turnberry Associates. Turnberry Associates has built over 20 million square feet of retail space, more than 7,000 luxury condominium and condo-hotel units, 1. 5 million square feet of class office space, in excess of 2,000 hotel and luxury resort rooms, as well as a number of exciting new projects currently in various phases of development.

Position is based in Nashville.

Position Overview

Perform support duties as directed by assigned Sales Manager(s). Tasks include, but are not limited to telephone communication including answering calls, attending to messages, forwarding calls appropriately, assisting caller in resolving questions/ concerns, email correspondence, managing calendar(s) and coordinating meetings, filing, inputting and maintaining data, drafting and submitting expense reports, accurately preparing written documents such as letters, memos, and any other administrative tasks as requested by Sales Manager(s).

Essential Job Functions

  • Provide administrative and customer support for assigned sales manager

  • Coordinate payroll files and Paid Time Off (PTO) submission for assigned sales manager(s)

  • Prepare sales- related documents throughout the sales process (e. g. Proposals, contracts, or banquet event orders)

  • Promote awareness of brand image internally and externally

  • Gather materials and assemble information packages (e. g. brochures, promotional materials)

  • Use sales techniques that maximize revenue while maintaining existing guest loyalty to Marriott

  • Enter, retrieve, reconcile and verify information (e. g. commissions, leads, third parties) in software involved in the sales process

  • Enter and retrieve information contained in computer databases to update records, files, reservations and answer inquiries from guests

  • Prepare letters, memos and other documents using word processing, spreadsheet, database or presentation software

  • Create and maintain computer- and paper- based filing and organization systems for records, reports and documents

  • Compile, copy, sort, and file records of office activities, business transactions, and other activities

  • Maintain a safe work environment for co-workers and a safe hotel for guests.

  • Maintain Marriott Standards of Service

  • Follow all company policies and procedures, verify uniform and personal appearance are clean, professional and becoming of a Marriott associate

  • Maintain confidentiality of proprietary information and protect company assets

  • Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs

  • Thank guests with genuine appreciation

  • Speak with others using clear and professional language

  • Prepare and review written documents accurately and completely

  • Answer telephones using appropriate etiquette

  • Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees

Qualifications, Job Knowledge, Experience, Skills, Abilities

  • 2-4 Year College degree in business related major, preferred

  • Previous experience in an administrative role required. Experience in sales and/ or hotels, preferred

  • Ability to communicate, verbally and in writing, effectively with guests and co-workers; respond to guest requests, with high level of patience, diplomacy and tact

  • Strong organizational skills with attention to detail

  • Ability to operate computers to include MS Office suite software and calculator

  • Typing proficiency at 75-100 wpm

  • Proper telephone etiquette necessary and comfortable with interaction with guests and the public

  • Ability to follow written and/or verbal instructions

  • Ability and experience in setting up and maintaining filing systems

  • Must maintain professionalism at all times, demonstrating courtesy and respect to guests and co-workers

Physical Requirements

  • Must be able to hear, talk, smell

  • Majority of duties performed indoors.
