JOB SUMMARY
Provides department assistance by performing a variety of duties, including data entry, copying, alphabetic and numeric sorting, retrieving documents and medical records, chart pick-up, and other tasks. Requires ability to use a wide variety of office equipment including copy and fax machines, telephone, and PC.
Utilizes scanning functions to capture images of original documents in the Sanford patient medical record and transfers them to the data management system or Electronic Medical Record (EMR). Accuracy and quality are essential as the EMR becomes the patient's legal medical record for the organization. Utilizes designated database for patient records to index and validate paper-based correspondence or scanned images. Database is a complete document management client-server application. Indexes forms that are not bar-coded by searching the database for correct document type. Communicates invalid forms and document types to leadership for inclusion in the database and/or reprinting of the form. Uses the scanning software independently and can perform maintenance as needed. Uses extensive knowledge of medical record forms and content to perform quality checks on the scanned, indexed and validated documents. Performs quality assurance activities on image prior to destruction of the original document for legal purposes.
Work assignments vary based on workload demands and shift assignment. In addition to the duties listed above, work assignments include location-specific duties as designated below:
In a Health Information Management (HIM) setting: Prepares medical record documentation for scanning. Locates, retrieves and routes records. Uses facility-specific software to determine record locations. Locates medical records for user requests within specified timeframes. Scans images into data management system.
In a Patient Financial Service (PFS) setting: Handles, receives, sorts, and sends mail to the individual who will scan into data management system. Creates mailing labels, affixes labels to mail, and sends mail.
POSITION RESPONSIBILITIES
Demonstrates the ability to speak, write and present clearly. Shares information, knowledge, and experiences openly and proactively. Adheres to established internal standards and procedures abstracted from HIPAA. Demonstrates a basic understanding of the relationship between maintaining focus and productivity. Processes large quantities of detailed information with high levels of accuracy. Identifies appropriate indexing methods for a specific database structure. Uses a variety of computer hardware, operating systems, utilities and applications. Retrieves and uses the data of healthcare information systems correctly and legally. Operate data capture technology to import digitized documents into document management system. Use data entry devices, such as optical scanners, to input data into computers for revision or editing.
DEPARTMENT DETAILS
Hours for this part time position will have a somewhat flexible shift, either 7:00pm - 12:00am or 8:00pm - 1:00am. No weekends or holidays. The position will be hired out of Fargo or Bismarck.
QUALIFICATIONS
High school diploma or its equivalent is required.
Prior experience in healthcare environment and knowledge of medical terminology preferred.
