Who We Need: The Office Coordinator position is responsible for creating a warm and inviting reception to all employees,guestsand vendors. The Office Coordinator will handle all administrative and some HR-related duties for the business. The ideal candidate will have a positive attitude, strong organizational skills, the ability to multi-task and thrive on working in a fast-paced environment. What You Will Do: Manage phone atfrontdesk and greet incoming clients/visitors. Maintain calendars of conference rooms and support executive team in schedulingtrainingsand/or meetings. Plan and coordinate the selection and delivery of food for meetings andtrainings. Support the planning ofcompany-wideevents and manage all internal and external vendor relationships. Responsible for managing an office supply inventory and order supplies as needed. Coordinate Office Fob Access security and maintain communication with property management on needs/feedback. Regularly audit employee fob access. Sort and deliver incoming USPS,UPSand FedEx deliveries; sort and ship outgoing USPS and/or FedEx mail. Manage new hire Welcome Box preparation and placement/shipping. Audit monthly benefit invoices and provide HR with findings for approval. Responsible for drafting and sendingweeklycommunication to the Charlotte office. Audit employee access in Skyprep, the company’s Learning Management System. Assist the Recruiting team with initiating Wonderlic assessments for candidates. Coordinate and schedule NMLS licensing visits for new Loan Originators. Regularly stock the break room with necessary supplies. Offer support to departments on team member engagement. Fulfill supply requests for employees as needed. What You Need: High School diploma or GED. BS/BA inBusiness,or related area preferred. 1+ years of Office Administration experience. Advanced computer skills, including Microsoft Office and Google Apps. Excellent oral and written communication skills. Exceptional decision making,problem-solvingand strategic thinking skills. Ability to strive in a fast-paced environment and take constructive criticism, coaching and feedback on a consistent basis. Highly detail orientated and organized with the ability to multi-task many projects across business lines. Ability to exercise discretion on sensitive and confidential matters. Ability to work independently, as well as the ability to interact successfully and collaboratively across business lines.
