Summary

The incumbent will support administrative and project management responsibilities Office of Accountability and Strategic Business Management (AHA-1) including scheduling, handling sensitive information, interacting with high profile individuals, gathering and preparing information for meetings, and other duties as assigned. Incumbent administers, evaluates, and coordinates the operations for the Office of Accountability and Strategic Business Management (AHA-1) and activities.

Responsibilities
  • Serve as the principal advisor and consultant to the Executive Director (AHA-1) on all administrative processes, planning, coordination, monitoring and training for AHA.
  • Provides operational and technical leadership to the AHA so that the mission and vision may be achieved, and to ensure organizational sustainability. Effectively communicates the businesses strategic objectives with senior management to drive the business forward.
  • Assists in preparing the Executive Director (AHA-1) for imporiant meetings and conferences; researching and analyzing issues to be addressed, becomes familiar with the interests of and positions taken by attendees, and recommends appropriate strategies for the meetings using all available data. The incumbent may also participate on various interagency committees.
  • Supports the AHA senior leadership; identifies, coordinates, analyzes, develops, and makes recommendations to improve the effectiveness of work methods and procedures, including management of a joint calendar, distribution of work assignments, information and documentation systems, and similar functions of management.
  • Gathers and develop data, identifies issues, compiles and analyzes findings and develops recommendations; respond to inquiries and administrative problems brought to the Executive Director; and serves as a consultant by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary to implement the policies, directives, and instructions.
  • Drafts AHA-1 communications and briefing tools (speeches, talking points) and/or individual correspondence or responses.
  • Analyze workflow and make recommendations for improvements and enhancements within AHA. Ensures AHA follow-up/completion of specific activities/projects/programs/initiatives.
  • Plans and carries out recurring program activities; identifies, analyzes, and recommends solutions to problems or issues; and evaluates and advises on the organization, methods, and procedures for providing effective support systems such as records management, communications, directives, forms, files, and documentation.
  • Leads the team in articulating and communicating projects, actionable events, milestones, and/or program issues under review, and deadlines and periods for completion.
  • Tracks AHA program documentation: deliverables in a timely manner from initial creation to final archiving, which includes internal and external organizational tasks and maintenance of official final copies in AHA repositories/databases.
  • Reviews information, reconci1es conflicting data, and devises new and modified methods to analyze and report findings, to applicable senior level management; analytics completed with the advice and guidance of senior consultants or the Director.
  • Develops reports supporting data-driven decision making by AHA and AHR leadership.
  • Supports the Executive Director (AHA) and in developing strategies to improve and automate program operations.
  • Plans, schedules, manages, reconciles mid recommends travel and TOY for AHA leadership.
  • Preparation of schedules including managerial coverage in HQ and on travel, meeting and agenda preparation, and other services related to official travel and transportation.
