Job Description

Join the HJF Team!

HJF is seeking a Purchasing Coordinator/ Data Supplier to support the Purchasing Department within the Research and Administration group located at Corporate Headquarters in Bethesda, Maryland. The incumbent will provide timely and accurate order confirmation, backorder status on all procurement actions and ensure the HJF Requestor/Customers are provided a status of their request and provide first class service to our customers.

Responsibilities:

  • Provide administrative and clerical support to the Purchasing Department.
  • Receive, screen/view and distribute incoming mail throughout the department.
  • Review and reply to incoming email correspondence and inquires.
  • Review incoming order confirmations to ensure confirmations match Purchas'e Order to make ensure items were ordered correctly after order is submitted to vendor and attach confirmation to Purchase Order in Oracle system. Also work with buyers when there are inconsistencies with order confirmations and submitted Purchase Orders that were sent to the vendors.
  • Transmit outgoing correspondence by courier, e-mail, fax, federal express, or U. S. mail.
  • Respond to customer and vendor inquiries/emails concerning purchasing transactions.
  • Prepare materials and schedule arrangements for meetings as necessary.
  • Process Domestic and International Vendor forms.
  • Send request to vendors to complete Vendor Forms.
  • Complete Credit Applications for Manager to a,pprove.
  • Order and maintain department office supplies.
  • Research if product can be purchased through an existing vendor verse adding a new vendor in Oracle system.
  • Use System for Award management (sam. gov) to confirm vendor has not been debarred
  • Has an effective working knowledge ofHJF's Purchasing procedures
  • Performs other duties as assigned.
  • Perform other duties as assigned by Senior Purchasing Manager
  • Required Knowledge, Skills, and Abilities: Excellent interpersonal skills and ability to handle multiple tasks and make independent business decisions.

    Minimum Education/ Training Requirements: Associates Degree. Knowledge of Uniform Guidance 133

    Minimum Experience: 2-4 years purchasing experience desired Work Environment: Office environment

    Tasks

    • Perform buying duties when necessary.
    • Prepare purchase orders and send copies to suppliers and to departments originating requests.
    • Compare suppliers' bills with bids and purchase orders to verify accuracy.
    • Prepare, maintain, and review purchasing files, reports and price lists.
    • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
    • Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers.
    • Review requisition orders to verify accuracy, terminology, and specifications.
    • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
    • Calculate costs of orders, and charge or forward invoices to appropriate accounts.
    • Maintain knowledge of all organizational and governmental rules affecting purchases, and provide information about these rules to organization staff members and to vendors.
    • Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
    • Track the status of requisitions, contracts, and orders.
    • Respond to customer and supplier inquiries about order status, changes, or cancellations.
    • Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
    • Train and supervise subordinates and other staff.
    • Approve and pay bills.
    • Monitor contractor performance, recommending contract modifications when necessary.
    • Prepare invitation-of-bid forms, and mail forms to supplier firms or distribute forms for public posting.
    • Monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes.
