Job Description

POSITION SUMMARY The Referral Management Specialist supports the patient and our Joint Venture Partnerships by assisting in scheduling and coordinating appropriate documents for specialty care and follow-up appointments. The position works to ensure that PIC/PUC and its clinics recommend our partnering providers to patients who need continuous care and follow-up appointments ESSENTIAL FUNCTIONS Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Provides all customers of Physicians with an excellent service experience by consistently (1) supporting the Company's goals and mission, (2) following all Company policies and procedures, (3) providing quality customer service, and (4) following safety standards in performing all aspects of the functions below. Contact patient's insurance to determine if specialist office or ancillary services (MRI, CTscan, etc) are in-network and obtain a prior authorization when applicable. Help coordinate the patient's visit and manage care with the medical office with professionalism and confidentiality Prioritize referral requests by date received and urgency as noted by clinic staff Maintain records of each referral case, actions taken and outcomes Follow up on results in referrals and denials in coordination of care Create reports from the tracked referral records Analyze and identify potential areas for improvement within the referral management process and provide input to management regarding deficiencies and opportunities in the system. Communicate via phone and email with patients and related providers in a timely manner Maintain records/documents in an organized manner Stay up-to-date in Patient Care job functions, process changes, and updates to PV/Vdoc NOTE: The essential functions are intended to describe the general content of and requirements of this position and are not intended to be an exhaustive statement of duties. Specific tasks or responsibilities will be documented as outlined by the incumbent's immediate manager. Required Skills SCOPE AND COMPLEXITY Customers are internal and external. Interactions will be in person and via the phone with other departments, patients, companies and physician offices. PHYSICAL DEMANDS/ENVIRONMENT FACTORS Requires extensive sitting with periodic standing and walking. No exposure to hazardous or significantly unpleasant conditions anticipated. Typically requires routine use of personal computer and general office equipment. Needs adequate visual acuity, ability to grasp and handle objects, ability to communicate effectively through reading, writing, and speaking in person or on telephone. MINIMUM QUALIFICATIONS High School graduate with advanced skills in Microsoft Excel plus experience using Pivot Tables and basic knowledge of Microsoft Office and Outlook. Must have the ability to work independently under moderate supervision and with professionalism across the organization. Also requires proper telephone etiquette, excellent communication skills, both oral and verbal, strong analytical skills and a high level of confidentiality. Excellent organizational skills to manage time efficiently and multiple priorities. Working knowledge of medical and insurance terminology. Demonstrated passion for serving customers and a customer-centric mindset is essential. PREFERRED QUALIFICATIONS Experience in urgent care, occupational health or the healthcare industry is preferred. Process improvement skills and capability of learning new software.
