Description

The Senior Payroll Tax Analyst possesses an extensive background in payroll processing and Payroll Tax. This individual performs the payroll tax functions; including but not limited to, review and maintenance of all Federal, FICA, State and Local employee Withholding Taxes, Employer FICA, State Unemployment Insurance (SUI) and Federal Unemployment Tax (FUTA), tax adjustments, and review/analysis of applicable payroll tax reports. This individual will also assist the Managers during the coordination and integration of new store openings payroll processes to the BBI Connect Resource Center. This position, in general, is responsible for the daily payroll tax review and maintenance. They are the key contact for all Federal and State taxing jurisdictions.

ESSENTIAL DUTIES

  • Reviews and researches tax issues.

  • Reconcile the impounded tax to the payroll on a weekly basis. Responsibilities also include that reconciling items are resolved in a timely manner.

  • Adjusts and corrects state and local tax codes within Ultimate.

  • Reviews and audits monthly, quarterly and year-end tax reports.

  • Develops processes for managing payroll tax within Ultimate and for unique tax scenarios (e.g. implementing PA local tax changes)

  • Responsible for maintaining compliance with local, state and federal regulations.

  • Accurate and timely preparation of all Local and Occupational Special Tax reporting that Ultimate currently does not perform.

  • Responsible for researching all tax notices from the Federal, State and Local jurisdictions.

  • Act as the liaison between Ultimate Software and BBI on all payroll tax issues.

  • Perform all year-end duties in preparation for W-2’s including extensive analysis of the tax data. Assist with creating and preparing all W-2C’s.

  • Research and file the special assessments for specific states with interest payments quarterly/annually.

  • Multiple Worksite reporting

  • Provides timely feedback to Manager, ensuring timely issue escalation.

  • Acts as a resource to the Payroll Operations team; providing guidance and assistance as directed by the Payroll Manager.

  • Communicates and participates in problem resolution processes.

  • Facilitate strong customer service relationships with external/internal personnel and peers regarding payroll tax issues.

  • Generate and review weekly/monthly/quarterly payroll tax reports.

  • Adheres to BBI Payroll internal audit control processes (Sarbanes Oxley Act- SOX).

  • Participates in applicable training programs.

  • Provides feedback and makes recommendations for changes to applicable forms/tools and processes.

  • Stays abreast of federal and multi-state tax regulatory requirements and company policies.

  • Ensure payroll department benchmarks and goals are met or exceeded.

  • Maintains confidentiality with all payroll information.

  • Practices and adheres to the Company’s Principals and Beliefs (P’s & B’s) philosophy.

  • Assist the General Ledger team with review and recording of all system wide payroll postings, including investigation of any payroll errors, posting of adjusting payrolls and completion of related payroll analytics

  • Assist the Payroll Manager with the management of state unemployment tax rates. This would include the analysis of the use of voluntary contributions to lower tax rates

  • Directing interaction with and owning the vendor relationship with our Unemployment Insurance outsourcer, Equifax

  • Other duties as assigned by the Payroll Manager.

REQUIREMENTS

Education:

  • Associates Degree required, Bachelor’s Degree preferred or equivalent combination of education and experience

  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) considered a plus

Experience/Skills:

  • Minimum 5-8 years payroll processing/tax experience

  • Strong background dealing with Payroll Taxes and Accounting experience

  • Demonstrates proficiency in an in-house payroll system (UltiPro/Ultimate preferred)

  • Experience in a consolidated, multi-state payroll environment preferred

  • Previous payroll processing experience preferred; restaurant experience considered a plus

  • Solid skills using Microsoft Office applications, especially Excel, and others as required; ability to quickly learn new PC skills.

  • Organization - proactively prioritizes assigned responsibilities and works efficiently.

  • Communication - communicates clearly and concisely with peers, leadership and customers.

  • Customer orientation - establishes and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations
