SUMMARY

The Medical Record Abstractor is responsible for manual and electronic data abstraction, report development, and analysis to support the investigation and reporting of pregnant women and their fetuses and infants in collaboration with the Centers for Disease Control and Prevention. This position is responsible for conducting and augmenting medical record abstraction and disease surveillance activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties maybe assigned.

Collaborates with Epidemiologists and Medical Record Requestors to support the investigation, data collection and medical record abstraction of COVID-19 Vaccine information among pregnant women and their fetuses and infants.

Develops and maintains strong working relationship with provider champions within OB, Pediatric and Family Practice networks.

Schedules in-person visits or communicates remotely with hospitals, health-related clinics, and offices who have cared for or are caring for women with COVID-19 vaccination during pregnancy and/or their offspring.

Reviews and abstracts medical and health-related records of COVID-19 vaccinated mothers and infants.

Medical record abstractions will occur prenatally, at delivery/birth hospitalization, and for surviving children, on the third month of life. Data to be abstracted, includes-but is not limited to-the following: (detailed data specifications will be provided)

  • Prenatal: at case identification, first, second and third trimester visits.
  • Delivery/Birth Hospitalization: Abstraction for mother
  • Delivery/Birth Hospitalization: Abstraction for newborn at birth
  • Pediatric record review at three months


Supports reporting of clinical data for all eligible cases that meet the project's case definition, including pregnant women in the U.S. who have received the COVID-19 vaccine and prenatal infants born to these women.

Completes and transmits securely and in a timely manner forms for maternal and infant follow up.

Reviews medical record abstraction data and contributes to assurance of data accuracy, quality, completeness and development of surveillance reports.

Maintains knowledge of and ensures compliance with all policies and regulatory requirements.

Serves as a resource to the CDC Vaccine Task Force and medical record requestors.

May train more junior staff.

Travels locally throughout jurisdiction.

Responsible for aiding in own self-development by being available and receptive to any training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and Human Resources. Will immediately correct any unsafe conditions as the best of own ability.

EDUCATION/EXPERIENCE

Bachelor's degree in public health, health services or a related field and a minimum of three (3) years' relevant experience, or equivalent combination of education / experience. Experience with health care data analytical techniques is preferred. R.N. is preferred. Proficiency in a second language is a plus.

Knowledge in interpreting the acceptability of data results, working knowledge of different data platforms

Computer literate with an understanding of bio-statistical methodology and execution

Skilled proficiency in the use of Microsoft Office Suite (i.e., Word, Excel Outlook, Project, etc.)

Ability to work independently, as well as a member of a multidisciplinary team

Exceptional organization skills with ability to effectively manage multiple projects and priorities

Excellent verbal and written communications skills

Exceptional customer service and relationship-building skills

Adept analytical and critical thinking skills

Demonstrated ability to meet deadlines, work independently, stay highly organized, juggle multiple responsibilities, and adjust to new tasks

Ability to travel (more than 50%, unless site visits conducted are local)

Ability to implement a proactive approach to problem-solving

Ability to interact professionally with national, state, and local health department officials, team members, corporate management, and clients of all levels

Demonstrated ability to work under pressure and to meet tight deadlines

Familiarity with health care data analytical techniques

Ability to provide background information about the project, answer questions, and provide updates to health department staff.

LANGUAGE SKILLS

Ability to read, analyze and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work is performed in an office environment and may be performed in the field that involves everyday risks and discomforts and sometime adverse weather conditions requiring safety precautions. Physical requirements include lifting, carrying, pushing and pulling up to 25 pounds occasionally. Subject to standing, sitting, walking, climbing, bending, crawling, squatting, kneeling or working in cramped and strained positions for long periods of time. Regularly required to use hands to finger, handle, or feel. Regularly required to reach with hands and arms, occasionally above head. Ability to speak and hear. May work in an environment where there is a heavy traffic, construction, rugged terrain, and hazardous environmental conditions. May work in an environment with exposure to toxic or caustic chemicals or blood borne pathogens. May work near moving or mechanical parts with risk of electrical shock. May be required to wear safety and personal protective equipment.
