Job Description

SUMMARY

The Manager of Accounts Payable is responsible for managing all activities in the accounts payable function, providing direction and guidance to staff, ensuring timely payment of vendor invoices and expense vouchers, maintaining accurate records, creating periodic supplemental reporting, and applying best practice controls and processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Direct (2) staff to ensure the timely and accurate completion of daily processes: AP inbox management and routing of invoices to appropriate personnel
    • Invoice and expense workflow approval process, through to payment
    • Coding of invoices, vouchers, expense reports, check requests, etc., conforming to standard procedures to ensure proper entry into the financial system
    • Data transfer process from invoice & expense processing system to ERP
    • Research and resolve a variety of routine internal and external inquiries concerning account status
    • Investigate and resolve any issues associated with processing of invoices and purchase orders
  • Review and approve batch check runs, wire transfers, ACH and EFT transactions
  • Administrator for SAP Concur (profiles, workflows, approvals, data transfer, and reporting) and Vendor Master data
  • Timely review of account reconciliations as a key control to prevent and identify errors
  • Prepare various monthly reports to identify key spending trends
  • Prepare/review and file 1099 reporting
  • Business Initiatives and Special Projects
    • Assist with new business initiatives, with respect to reviewing updating and monitoring the Company's processes, policies and controls
    • Identify areas of improvement with current processes to drive scalability
    • Assist in integration of newly acquired entities from an accounts payable perspective
  • Personnel Management and Others
    • Supervise, develop and mentor staff to aid in professional development
    • Provide coaching and training to ensure the highest levels of individual and team performance
    • Create a workplace culture that is consistent with the overall organization's vision, purpose, and values
    • Ensure consistent adherence to all department and company policies, procedures, and practices
    • Provide effective performance feedback through employee recognition and disciplinary action, with the assistance of Human Resources, when necessary
    • Demonstrate financial stewardship by managing current resources with high efficiency, thoughtfully applying budget principles within the team, and acting with integrity and accountability in financial decisions
    • Lead change, understand the why behind change efforts, communicate transparently, and ensure that you and your team are "ready, willing, and able to help with implementation"
    • Look for ways to improve how daily work is done to improve efficiencies, automation, and simplify our processes and procedures
  • Perform other duties and responsibilities as assigned

QUALIFICATIONS

  • Bachelor’s degree in Accounting, Finance, or related field preferred; Associate degree acceptable dependent on relevant experience
  • 5+ years’ experience in a high-volume AP role, with previous supervisory experience preferred
  • Proficient use of SAP Concur highly desired
  • Proficient use of Microsoft Dynamics GP and Excel preferred
  • Demonstrated process improvement and/or system implementation skills a plus
  • Attention to detail
  • Strong organization and time management skills
  • Ability to adapt to a changing environment
  • Demonstrated excellent customer service skills along with a high level of interpersonal skills with demonstrated poise, tact, and diplomacy; must be able to maintain the integrity of confidential information
  • Excellent communication skills, written and verbal, with the ability to clearly communicate issues to all levels of management
  • Proven ability to communicate effectively with internal and external customers, and influence buy-in and support
