WildCare Park Administrative and Projects Manager

Summary: This full-time position advances the Saint Louis Zoo’s mission and values by providing direct administrative support for activities occurring at the Saint Louis Zoo WildCare Park and the Saint Louis Zoo Sears Lehmann, Jr. Wildlife Reserve. This position provides executive administrative support to the WildCare Park Director, project management for the implementation of WCP and office management support to the WildCare Park team. This position is based at the WildCare Park, however the duties of this position may be assigned to take place on any of the Saint Louis Zoo’s three campuses, as well as in the community, as required. The successful candidate will be fully aligned with the Zoo’s core values of Community, Creativity, Openness, Integrity and Life-Work Balance.

Qualifications: The successful candidate is likely to have a high school diploma or equivalent and a minimum of two (2) years of project management and executive administrative assistant experience. A college degree is preferred, but not required. Interactions with coworkers, as well as donors, guests, and community members will be frequent in this role, so exceptional communication, empathy and human relations skills are essential. This position requires someone who is innovative, self-motivated and forward thinking. The successful candidate will be a leader and will have a strong work ethic, exemplary attention to detail and a positive, can-do attitude. They must be adaptable and able to thrive in a developing work environment. They should expect a team-based approach and be ready to participate in cross-departmental activities, in addition to performing their own individual duties. Working some evening and weekend events may be required. The successful candidate must have the physical ability to perform required duties as assigned, including standing for long periods, walking, lifting, bending, driving, and working in all types of weather. A valid Missouri driver’s license is required. The successful candidate will be required to submit to a criminal background check and a drug test.COVID vaccinations are required for this position

Responsibilities

  • Manage the full project life cycle including requirements gathering, creation of project plans and schedules, obtaining and managing resources, monitoring budget, and facilitating project execution, deployment, and closure for the entirety of WCP.

  • Utilize industry standard project management tools and techniques to effectively manage projects.

  • Assist with establishment and maintenance of project management methodology and other department procedures.

  • Maintain detailed project documentation including meeting minutes, action items, issues lists, and risk management plans.

  • Effectively communicate project status to all stakeholders.

  • Identify areas of negotiation with project stakeholders assist with identifying resources, resolve issues, and mitigate risks.

  • Coordinate cross-functional meetings with various functional areas to meet overall stakeholder expectations and company's objectives.

  • Monitor the creation of all project deliverables to ensure adherence to quality standards including design documents, test plans, training materials, and operations documentation.

  • Create and communicate project milestone documents, dashboards, ROI tables, and project success metrics.

  • Provide overall administrative support to the Director, including e-mail and complex calendar management, meeting material preparation, email & phone correspondence, travel arrangements, and special projects as requested.

  • Meeting organization and management for Board-led Committees as needed including prepare all necessary logistics for multiple meetings throughout the year including preparing agendas, facilitating inclusion of financial reports, taking minutes, distributing action items, and arranging meeting rooms and catering when applicable.

  • Perform various administrative duties, including maintaining office supply stores, filing and the organization of physical and electronic documents, processing mail, matching and mailing weekly checks, purchasing requests and other office duties as assigned for WCP

  • Assist with annual budget creation

  • Other duties as assigned by management

Qualifications:

  • Bachelor's degree preferred

  • Extremely detailed oriented

  • Ability to effectively prioritize work flow

  • Excellent interpersonal, written, and oral communication skills

  • High standard of ethics and confidentially to handle sensitive information

  • A minimum of 2-3 years of experience in Windows Operating Systems and project management best practices;

  • Ability to sift through large amounts of data and derive trends and deviations that lead to solid, reliable conclusions

  • Understanding of project management principles; ability to understand and follow a defined project management methodology and adhere to project management best practices

  • Strong multi-tasking, planning and organization skills
